1. Responsibility

Kaizar®, the trade name of Tobias J. Beers registered with the Chamber of Commerce (KvK 98376780), located in Amsterdam, is responsible for processing personal data as described in this Privacy Policy.

2. Data Processed

Kaizar processes only the data necessary for business communication, client relationships, and the execution of assignments. This includes:

  • Name, job title, and company name;
  • Business email address and phone number;
  • Billing and payment information;
  • Correspondence (emails, messages, proposals, contracts);
  • Any technical or business information required to perform data analysis or consultancy work.

Kaizar does not process special or sensitive categories of personal data (such as data on race, religion, health, or criminal records).

3. Purposes of Processing

Personal data is processed for:

  • Business communication and relationship management;
  • Preparing proposals and agreements;
  • Executing assignments and invoicing;
  • Compliance with administrative and legal obligations;
  • Internal archiving, evaluation, and quality assurance.

Processing is based solely on:

  • Performance of a contract;
  • Legal obligations (e.g., tax administration);
  • Legitimate interest (such as client communication and internal quality improvement);
  • And, where applicable: consent (for voluntarily provided data via forms or email).

5. Retention Periods

Kaizar does not store personal data longer than necessary. Standard retention periods are:

  • Administrative and financial records: 7 years (legal obligation);
  • Correspondence and project information: up to 10 years after last contact for internal archiving, aftercare, and legal evidence purposes.

If an individual explicitly requests deletion, this will be honored unless legal retention obligations require otherwise.

6. Sharing with Third Parties

Kaizar shares personal data only with trusted service providers essential to business operations, such as:

  • Hosting and email providers;
  • Accounting or administrative services;
  • Software tools (such as Google Workspace, Notion, GitLab).

These parties act as processors under written agreements. Kaizar never sells or rents personal data.

7. Security

Kaizar implements appropriate technical and organisational measures to prevent misuse, data loss, unauthorized access, or unwanted disclosure. These include:

  • Encrypted storage and backups;
  • Secure connections (SSL/TLS);
  • Minimal access rights: only what is necessary to perform work.

8. Cookies & Tracking

The public website (https://kaizar.nl) uses no cookies and no tracking technologies that process personal data. Kaizar only uses anonymous, cookieless statistics (Umami Analytics) to count page views. These data cannot be traced back to identifiable individuals.

Our web applications (for example portal.kaizar.nl and auth.kaizar.nl) do not use any tracking or marketing cookies. They only set strictly necessary functional cookies to keep users logged in and to protect access (Authelia SSO and application session cookies). These cookies are not used for analytics, profiling or advertising.

9. Rights of Data Subjects

Individuals whose data is processed have the right to:

  • Request access to their personal data;
  • Request correction or deletion;
  • Object to processing;
  • Request data portability.

Requests can be sent to the contact address listed on the website. Kaizar typically responds within 30 days.

10. Complaints

Complaints regarding data processing can be submitted via the contact email on the website. Individuals may also submit a complaint to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens): www.autoriteitpersoonsgegevens.nl .

11. Changes

This Privacy Policy may be updated to reflect changes in business operations or legal requirements. The most recent version is always available on the Kaizar website. In case of discrepancies between this policy and the Dutch version, the Dutch version shall prevail.
